My list of web apps in that tier of quality is very short, but Resource Guru is among them.Resource Guru is a tool for project managers who need to get detailed looks at their team’s schedule and productivity, with a bird’s-eye view at the tasks ahead. If you manage a team, no matter the size, you know planning out projects and adjusting your available resources to match their workload is extremely difficult and time-consuming. That’s where Resource Guru comes in. It helps you see who on your team has time for a project—and if your resources (things like your conference room or projector) are available when they’re needed, too.Read MoreFirst, you’ll add clients, projects, and resources (both people and objects) in just a few clicks. I added almost a dozen clients in less than three minutes, and gave them each a different colour code and a quick note. From there, I was able to create projects for clients, setting whether it was billable or not. I also set up all the resources in Kramerica (my completely fictional manufacturing firm), and got to work assigning them to projects for USPS, The New York Times, J. Peterman, and Pendant Publishing. For each team member I added, I quickly added their profile picture and adjusted their availability. I also gave them each specific skills and a job title—the same steps you’ll take to set up your team. From there, I got to work. Using the Gantt Chart-like scheduling screen, I could quickly click and drag across multiple days to schedule a single resource—either a person on my team or a tool we’d use. That allowed me to determine the start and end dates for a project, and then assign the project and daily hours accordingly.I could even look for resources to schedule by job title and skills, so if you need an illustrator or a type designer, you can find that contact easily and assign them based on their availability. (And thanks to its calendar and Zapier integrations, everybody on your team can easily see when they’ve been booked and what they’ve been booked for.)Within less than fifteen minutes, I had set up a dozen clients, about eighteen projects, six employees, and a delivery vehicle. Not only that, but I’d booked everybody for the next month! Resource Guru made all this incredibly fast—more than most other scheduling and resource management apps I’d used.For project managers, this is all top-notch stuff. But it gets better.With Resource Guru, you can invite your entire team to the platform. All your people can see what they’ve been assigned to for the day, and project managers can see what they’ve assigned to others. This lets everybody get their work done and keep on top of the assigned work.Resource Guru also lets you set work aside and put it on hold. If you don’t have the resources to schedule right now, you can do it later. Resource Guru will keep it all safe and ready to go.Finally, Resource Guru lets you work with other project managers in other departments. You can share resources and easily cross-assign people. This means that George the product designer can easily be assigned two hours with the marketing team by their PM to discuss that hot new product you’ve been working on.When you’re done scheduling your resources, you might want to get reports to find out where your time is going (and how much of it is being under-utilized). The extensive reports in Resource Guru let you easily filter through a wide range of categories — like skill types, billable or non-billable hours, specific time periods, and so much more. The reports are colourful and easy to read.If you need to spend some time tweaking reports (or maybe send them over to accounting to compare tracked hours and booked hours), you can export any report you create to a .csv document and manipulate it in any way your heart desires.All of this makes Resource Guru one of the most capable apps available for resource forecasting and reporting. It’s incredibly in-depth, fun to use, and ready for professional needs across a myriad of organizations. The only thing missing is the time tracker.
